Our company provides full-service management to trade and professional associations as well as specialized services including non-profit financial management and event coordination. We are seeking a full-time Training Coordinator to support the internal operations of one of our trade associations. This position works closely with the Director of International Training (DIT) to ensure the seamless coordination and delivery of all training initiatives, effective documentation, and exceptional support for participants and facilitators.

Primary Responsibilities :

Training Program Operations

  • Support the DIT in all training-related inquiries via phone and email.
  • Assist with the Results at Hand (RAH) app, including class setup, attendance monitoring, and sending notifications.
  • Manage training registrations, including processing orders, communicating with students, distributing class materials, and scheduling logistics.
  • Coordinate registration processes, payments, cancellations, and transfers.
  • Distribute student and facilitator information, manage digital training materials, and monitor app activity.
  • Coordinate with facilitators and chapters to ensure all training support needs are met.
  • Support the DIT with CFITrainer test pin and survey processes for all tested classes.
  • Maintain the Team SharePoint and Team Up calendar for training coordination.
  • Update and maintain training-related content on the firearson.com website to ensure accurate and timely course information.
  • Support the DIT in preparation for regional training events.

Program Logistics and Certification Support

  • Oversee logistics for specific certification programs, including application tracking, roster management, skill assessments, certifications, and invoicing.

Documentation and Administration

  • Manage the documentation of evaluations and file all training materials in SharePoint.

Event Support

  • Provide support to the DIT during the annual International Training Conference (ITC).

Requirements:

Education & Experience Bachelors degree preferred. 3+ years of customer service and administrative work preferred.

Skills, Knowledge & Abilities:

  • High proficiency with Microsoft Office Suite (Outlook, Word, Excel).
  • Familiarity with CRM platforms is a plus.
  • Excellent organizational and time management skills.
  • Strong communication and customer service abilities.
  • Positive, collaborative team-player attitude.
  • Must be able to lift up to 25 pounds and ability to stand for 8-15 hours/day when attending conferences.

Travel attend annual client conference (8 days).

Job Location This is a full-time, non-exempt position at our administration office in Forest Hill, MD. The location of this position would be a combination of in-office and remote.
